Position overview:
The Business Operations Manager oversees the company’s facilities (and related vendors), administrative staff, and travel and expense policies and procedures. The Business Operations Manager will be a leader and subject-matter expert on administrative issues for the firm. The ideal candidate has 3-5 years’ experience leading a team of administrative staff covering executive support and office management.
The Business Operations Manager reports to the Director of Strategic Operations. The Business Operations Manager is an exceptional project manager and is responsible for delivering fast and sustainable results in the following areas:
 
Facilities:

  • Oversee the facilities in firm’s major offices: New York, Washington DC, and London; This would encompass relationship management, budget management, and managing the office managers
  • Supervise administrative and executive assistants
  • Ongoing facilities improvement management
  • Oversee and execute all lease renewal exercises
  • Secure options for alternative office space, when necessary
  • Insurance reviews/annual renewals, etc.
 
 
Supervising Business Services team
  • Conflict resolution matters with executives and other individuals on an ad hoc basis
  • Identify resources for ad hoc projects the team is requested to work on
  • Hands-on supervising, including weekly catch ups; professional development activities; and performance reviews bi-annually
  • Work with office managers to plan holiday party, summer events and other social events in each office
 
 
Travel/Expense Management
  • Manage the user side of Concur expense process and troubleshoot issues as they arise
  • Work with Finance and Strategic Operations to streamline the Concur approval/audit flow to expense tracking procedures
  • Develop detailed documentation on Travel policy and booking protocols (including administrator portal navigation)
  • Oversight of the firm’s travel and expense policies; review and update as requested by management
  • Provide visibility of booked travel across the firm to provide efficiencies with policy/travel calendars/roadshow calendars;
  • Oversee senior advisor travel
  • Assign new AMEX cards to new employees and oversee monthly review of card expense submissions
In the first 12 months of the role, the Business Operations Manager will accomplish the following goals:
  • Setup new travel and expense module in Concur (Pivot Payables)
  • Produce and facilitate employee training on T+E expense software and process
  • Develop career growth opportunities for business services team
 
Qualifications:
  • Bachelor's degree; Or equivalent combination of education, skills, and experience.
  • 5 years' related work experience; at least 2 years' facilities experience.
  • 2 years' progressive supervisory experience.
  • Working knowledge of Concur travel and expense system.
  • Demonstrated understanding of financial and operations processes and systems such as expense management, travel administration and insurance.
